Managing Customer Memberships
Track and manage all aspects of customer memberships.
Viewing All Memberships
From Memberships Page
- Go to Memberships in main menu
- Click the Members tab
- See all customer memberships with filters
Filters Available
- Status - Active, Paused, Cancelled, Expired, Payment Failed
- Plan - Filter by specific membership plan
- Search - Find by customer name or email
Membership Details
Click any membership to see:
- Customer info - Name, contact details
- Plan details - Name, price, benefits
- Status - Current status with badge
- Billing - Next billing date, payment history
- Usage - Current period usage for each benefit
- History - All usage records
Membership Actions
Cancel Membership
- Click Cancel Membership
- Choose cancellation type:
- End of Period - Continues until current period ends
- Immediate - Cancels right now
- Add optional reason
- Confirm cancellation
Note: Cancellation policy is enforced. You cannot cancel within X days of renewal unless using immediate cancellation.
Pause Membership
- Temporarily suspends the membership
- Billing pauses
- Benefits are not available while paused
- Can resume anytime
Resume Membership
- Reactivates a paused membership
- Billing resumes from next cycle
- Benefits are restored
Payment Issues
Payment Failed Status
When a charge fails:
- Membership shows Payment Failed status
- System retries automatically (1, 3, 7 days)
- After max retries, membership is cancelled
Manual Resolution
- Contact customer about payment issue
- Customer updates payment method in portal
- Or issue a new membership after resolving
Usage History
Viewing Usage
- Open membership details
- Click View Usage
- See all redemptions with dates
Usage Info
- Date and time of use
- Service used
- Staff who processed
- Associated appointment (if any)
