Resources, bookable rooms and equipment
How to add treatment rooms, laser machines, and other shared assets that get linked to services
Resources
The Resources tab manages the physical things bookings use: rooms, machines, chairs. You add them here, then link to services. Once added, the system tracks them: no double-booking, conflict warnings.
What you add
Typical resource categories:
- Treatment rooms: Room 1, Room 2, VIP suite
- Machines: Laser, Color processor, IPL
- Stations: Manicure station, Pedicure chair, Hair dryer station
Each has:
- Name: clear so the team recognizes it
- Description: optional (e.g., "Wet-area only")
- Location: which branch it lives at (for multi-location salons)
Linking to services
In the service editor (Services → service → Resources tab), you link the resource. If a "Laser hair removal" service is linked to the "Laser" resource, then:
- A booking can only be created if the laser is free
- Two customers can't laser at the same time, even with different staff
- The booking on the calendar shows the laser name in teal
Multi-location resources
Resources are location-specific. "Room 1" only exists at Downtown salon. When you open a new location, you add separate resources there.
Use case scenarios
Scenario 1: Two treatment rooms
At salon launch: Room 1, Room 2. Link both to services. Booking system auto-allocates: if 1 is booked, the booking goes to Room 2; if both are booked, no slot.
Scenario 2: New laser machine
You bought a new machine, only one. Add as resource, link to laser services. Two customers can never book laser at the same time.
Scenario 3: Temporary room out
Painting Room 1 for 2 days. Block the resource on the booking page (or block on the calendar for those days). Customers can't book those 2 days.
Scenario 4: VIP suite for premium services
VIP suite is reserved for premium services only. Link only to those, the booking system enforces the rule automatically.
Tips
- Name resources clearly: "Room 1" beats "Space A".
- Only what you really need to track: if every service can happen anywhere, you don't need resources. Only add when conflict prevention is the goal.
- Multi-location: tag the location precisely: otherwise booking system gets confused.
- Don't add loyalty or price to resources: those are service-level settings.
- Block resources for maintenance: place a calendar block on the resource column so bookings can't land.
