Deposit Collection and Management
Collecting Deposits at Reception
When a booking requires a deposit, reception staff can collect it in person:
- Open the appointment in the calendar
- Click the three-dot menu (top right)
- Select Collect deposit
- Choose the payment method (cash, card, etc.)
- Enter the amount and click Collect
Appointments Awaiting Confirmation
An amber banner at the top of the calendar shows bookings where the deposit hasn't been paid yet.
For each booking you can:
- Send reminder: Re-notify the customer about the deposit
- Extend deadline: Push the payment deadline by 24 hours
- Remove policy: Confirm the booking without requiring a deposit
- Collect now: Open the deposit collection modal immediately
Automatic Actions
- Reminder: Automatic notification 24 hours before the deadline
- Auto-cancel: If the deadline passes without payment, the appointment is automatically cancelled
Payment Policy Management
You can edit the payment policy per-booking:
- Open the appointment
- Three-dot menu > Payment policy
- Modify the policy type or deposit amount
Checkout and Deposits
During checkout, any previously paid deposit is automatically deducted from the total. No manual handling needed.
