Creating appointments

Booking an appointment is the single most common action in Bookinda. There are several ways to do it, pick whichever feels fastest in the moment.

Four ways to start a booking

1. Drag on the calendar

Click and hold on a time slot, drag down to set the duration, release. The booking modal opens with the staff member and time already filled in. This is the fastest way once you're used to it. See Drag-to-select.

2. Click an empty slot

A single click on an empty slot pops up a small menu, choose Add appointment. The modal opens pre-filled with the staff and the start time you clicked.

3. The + New appointment button

Top of the calendar (or the floating + button on mobile). Opens an empty booking modal where you pick everything from scratch.

4. Smart booking

For when the customer says "give me your earliest free slot for X service". You pick the service first, Bookinda finds the best slot. See Smart booking.


The booking modal, step by step

The modal has the customer and service info on the right, and a customer profile panel on the left.

Selecting the customer

Search by name, email, or phone in the customer field. Three things can happen:

  • Match found: pick the customer, their profile appears on the left.
  • No match: there's a "Create new customer" link in the dropdown, click it to create them inline without leaving the booking flow.
  • Walk-in: tick the walk-in toggle for casual customers you don't want to register.

When you pick a customer, the left panel shows you everything about them: contact info, visit history, active packages with a "Use" button, loyalty points, store credit, staff alerts, and allergy warnings. Glance at it before you book.

Adding services

Click Add service to open the service picker. You can browse by category or search by name. Pick a service to attach it to the booking.

For each service you add, you can configure:

  • Staff member: who will perform it. Availability dots are green (free), amber (conflict warning), or red (not available).
  • Start time: 5-minute precision. Defaults to your calendar slot.
  • Duration: pre-filled from the service settings, adjustable.
  • Resource: if the service has rooms or equipment attached.

Add-ons

If the service has add-on groups configured, an add-on panel opens automatically. Pick the add-ons, adjust the quantity, click Done. They attach to the service and add to the duration and price.

Multiple services in one visit

Click Szolgáltatás hozzáadása (Add service) again after the first one. Each new service:

  • Schedules back-to-back from the previous service's end.
  • Can have its own staff and add-ons.
  • Can have its own resource.

This creates a linked group booking, all services share a bookingGroupId. See Multi-service & group bookings for the details.

Service questions

Some services have custom questions you've set up (e.g. "Hair length?", "Allergies?", "Skin type?"). They appear as a collapsible section, expand it to fill in answers. Answers save with the appointment and are visible the next time you open it.

Payment policy

Choose how the booking is charged:

  • No deposit: pays at checkout.
  • Deposit required: customer pays a percentage up front. The exact amount and behaviour come from your Online Booking settings.

This is mostly relevant for online bookings, in-house bookings rarely use deposits.

Notes

Internal notes for the team. Customers don't see these. Use them for things like "She prefers a cooler temperature" or "Always running 5 minutes late".

Status

Defaults to Booked. You can pre-set it to Confirmed if you've already spoken to the customer. See Appointment statuses for what each status means.

Saving

Click Save to create the appointment. The calendar updates instantly. If anything is wrong (double-booking, no staff for service, etc.), Bookinda will show a warning before saving.


Tips

  • The fastest workflow: drag on the calendar, type the customer's first name, pick from the search, save. Three clicks, four if you add a service.
  • Always glance at the customer panel before saving, you might spot an active package they could redeem instead of paying again.
  • For long, multi-step services, set up service add-ons rather than splitting into multiple services. It keeps the workflow cleaner.
  • The "Changes detected" indicator at the bottom of the modal warns you if you try to close with unsaved changes.
