Recurring expenses

Most salon costs are fixed and identical every month. Rent, accountant, internet, insurance, equipment leases, marketing subscriptions. Instead of recording each one manually, set it up once and Bookinda generates the expense automatically.

Where to find it

Finances → Recurring tab.

Creating a new recurring expense

New button → form:

  • Name (e.g., Rent, Accountant Inc., Adobe Creative Cloud)
  • Amount (HUF)
  • Category (supplies, marketing, rent, insurance, etc.)
  • Frequency: Monthly / Quarterly / Semi-annual / Annual
  • Next due date: date
  • Notes (optional, e.g., invoice number, partner info)

On save, the system records an expense on the due date and shifts the next due date forward.

When to use it

Scenario 1, fixed monthly costs Rent 250k, accountant 30k, internet 8k, all monthly. Set up once, never think about them again, they still show up in monthly expenses.

Scenario 2, annual insurance Business liability insurance 120k / year. Set annual, auto-records yearly.

Scenario 3, marketing subscriptions Adobe Creative Cloud (monthly 14,990), Canva Pro (monthly 3,500), Meta Ads base budget (monthly 50,000). Each as a separate recurring.

Scenario 4, ad-hoc generation Sometimes you need to record before the due date. E.g., pre-paid the accountant. Each recurring has a Generate Now button to instantly create the expense.

Generate Now (ad-hoc)

Each row has a ⚡ button. One click creates the expense and shifts the next due date forward by one cycle. Useful when:

  • Paying ahead by a month
  • Forgot to record on time
  • Adding an extra cycle

Delete

Trash icon in the list. Confirmation dialog. Past generated expenses are not deleted, only future auto-generation stops.

Tips

  • Generate recurrings at month start, keeps the monthly P&L accurate.
  • Categorize precisely, the Overview category chart depends on it.
  • Avoid duplicates, if a bank import brings in the same expense as the recurring, it shows up twice. Use either recurring or bank import, not both.
  • Set up annual big-ticket items (lease, insurance) as recurring, otherwise easy to forget.
  • "Monthly" frequency triggers on the same day-of-month, if set to the 15th, it always fires on the 15th.
  • Plan 1-2 days before the due date, gives you time to wire money.
