Set up weekly or monthly recurring classes, multi-instructor, series editing, and cancellation

Recurring group classes

Most group classes recur: Mon-Wed-Fri 07:00 yoga, Tue-Thu 19:00 HIIT. Set up once and the system auto-generates each occurrence.

Where to find it

Group Classes → Classes+ New class → "Recurring" toggle.

Recurrence rule

Frequency

  • Weekly (once per week, or multiple days per week)
  • Bi-weekly (every 2 weeks)
  • Monthly (Xth day of month or Xth weekday of month)
  • Custom (advanced: cron-like)

Day selection

For weekly, mark the days: M, T, W, Th, F, S, Su. E.g., M+W+F = 3 times weekly.

Start and end date

  • Start date: first occurrence (e.g., 2026-05-04)
  • End date (optional): last occurrence (e.g., 2026-08-31)
  • Unlimited: runs until you cancel

Exceptions

Skip a specific date: holiday, vacation. From the calendar, skip one occurrence; the rest stay.

When to use it

Scenario 1, Monday morning yoga Weekly, Monday only, start: next Monday, end: none. 12-spot capacity. Class auto-generates every week.

Scenario 2, fitness 3 days/week Weekly, M+W+F, 18:00, 60 min, 16 spots. Runs all year.

Scenario 3, summer break Series runs from January, summer break in July. Add exceptions for summer months, or temporarily cancel the series.

Scenario 4, monthly workshop Monthly, first Saturday of each month at 14:00, "Special theme."

Scenario 5, replace last year's open-ended series Cancel old series, create new one with different capacity/price.

Multi-instructor + recurring

Recurring classes support multiple instructors too. Series shows up in each instructor's calendar, both get notifications. If one instructor goes on vacation, series continues, the other holds.

Series editing

Click an occurrence on the calendar → edit:

  • This occurrence only (e.g., one-time price change)
  • Modify the series too (e.g., new capacity for all future occurrences)
  • Past occurrences are untouched

Series cancellation

Calendar → series occurrence → Cancel → options:

  1. This occurrence only (single skip)
  2. From now on (series stops from this date)
  3. Entire series (delete all occurrences retroactively, rare)

Participants get notified.

Bookings and recurrence

Customer books a specific occurrence, not the series. To attend every Monday yoga, they need a separate booking each week. Solution: pass system (e.g., 10-class pass → book 10 occurrences).

Tips

  • Customer shouldn't perceive the series as "recurring," to them each occurrence is a separate booking. Normal UX.
  • End date is optional, but pencil in a "review" date, to ask yourself: should we continue? Is attendance good?
  • "Entire series" cancellation deletes past occurrences too and emails every participant. Use only if the series truly ends.
  • Add holiday exceptions in advance, so customers see breaks coming.
  • Auto-cancel + recurring series is a strong combo: low-attendance occurrences self-cancel, you focus on full classes.
  • With two instructors, don't let both go on vacation at once. Add a series exception.
