Creating a group event

An event is a group class at a specific time. Can be one-off (single occurrence) or recurring (weekly, monthly).

Where to find it

Group Classes → Classes tab → + New class button. Or directly on the Calendar if you have a group-class service.

New class form

Basics

  • Name (e.g., "Hatha yoga for beginners")
  • Service (pick from your services, price and duration come from here)
  • Category (e.g., Yoga)
  • Date and time
  • Duration (e.g., 60 minutes)

Instructor(s)

  • One instructor (common)
  • Multiple instructors (multi-instructor): each sees in their own calendar and gets notifications

Capacity

  • Spots (default from global Settings, can be overridden)
  • Minimum participants (for auto-cancel, optional)

Price

  • Price (override the service price, e.g., happy hour: 50% off)
  • Pass-redeemable (default yes, can be turned off)

Display

  • Color (visual distinction)
  • Online visible (toggle, publish to booking page)

Other

  • Location / Room (if you have multiple rooms)
  • Note (for instructor or internal use)
  • Booking deadline override (different from global)

When to use it

Scenario 1, one-off workshop A 3-hour "Pilates for your back" workshop, 8 spots, 9,000 HUF. Single occurrence, fixed date. Online visible: on.

Scenario 2, Monday morning yoga Weekly recurring, Monday 07:00, 60 min, 12 spots. (Details: Recurring events)

Scenario 3, two-instructor dance class Tuesday 19:00, "Latin dance + Salsa," with 2 instructors. Appears in both calendars, both see bookings.

Scenario 4, premium small group Thursday 18:00, "Mobility 4-person," override capacity to 4 (default 12). Override price: 5,000 HUF (default 3,500).

Scenario 5, internal class (staff only) "Team morning workout," online visible: off. Booking link is not public, only Manager interface.

Event editing

From the list → row → edit:

  • Time, capacity, price, name can be changed
  • If there are bookings already, time changes trigger notification to participants
  • Color and note can be edited anytime

Cancelling an event

Cancel button → confirm. Two options:

  1. This occurrence only
  2. Entire recurring series (only for recurring events)

Participants get an email (if enabled in Settings).

Tips

  • Name should be descriptive, "Yoga for beginners" beats just "Yoga". Customer sees this on the booking page.
  • Use the online-visible toggle for internal classes, so they don't appear on the public page.
  • Multi-instructor only works well if both understand role split. Decide internally who opens the room, who manages check-in.
  • Capacity override isn't auto-magic, existing bookings aren't deleted if you lower the cap.
  • Overridden price applies to that class only, doesn't affect passes. Configure passes separately.
  • Service is mandatory, that's where pricing and duration come from. No service yet? Create one first.
