Group class settings

Global rules: capacity, booking window, waitlist, notifications, auto-cancel

Group class settings

The Settings page defines global rules that become defaults for every new class. Per-class overrides are always possible.

Where to find it

Group Classes → Settings tab.

The 6 groups

1. Defaults

  • Default capacity (spots per class, e.g., 12)
  • Max spots per booking (e.g., 4, so one person can't lock the whole class)
  • Default minimum participants (for auto-cancel)

2. Booking rules

  • Minimum lead time (how many hours before class, e.g., 2)
  • Max advance booking (days ahead, e.g., 30)
  • Booking deadline (optional, no booking allowed within X hours of class, e.g., 1)
  • Allow online cancellation (toggle)
  • Cancellation window (no cancellation allowed within X hours, e.g., 12)
  • Enable waitlist (toggle)

3. Notifications

  • Send reminder email (toggle) + how many hours before (e.g., 24)
  • Cancellation notice to participants (if you cancel the class)

4. Public page settings

  • Show instructor name on the booking page (toggle)

5. Auto-cancellation

  • Enable (toggle)
  • Check strategy:
    • Previous day at specific hour (e.g., previous day 22:00)
    • X hours before class (e.g., 4 hours)
  • Time window rules: e.g., "morning classes (06:00-12:00) checked previous evening 22:00"
  • Multiple check schedules supported

6. Business type

The global (Settings → General) business type also affects this:

  • "Group-class focused" businesses have Group Classes as the main module
  • "Hybrid" salons run both traditional bookings and group classes

When to use it

Scenario 1, yoga studio with 12-spot classes Default capacity: 12. Max per booking: 1. Min lead: 1 hour. Waitlist: on. Cancellation: 4 hours.

Scenario 2, family-friendly fitness Default capacity: 16. Max per booking: 4 (a parent can bring kids). Min lead: 0 (drop-in allowed). Waitlist: on.

Scenario 3, premium small group (4 spots) Default capacity: 4. Max per booking: 1. Min lead: 24 hours. Cancellation: 24 hours (otherwise no-show fee).

Scenario 4, dawn classes with auto-cancel Min participants: 3. Auto-cancel: on. Check: previous evening 22:00. If fewer than 3 booked by 22:00, class auto-cancels and registered participants are notified.

Scenario 5, Instagram-worthy instructors Show instructor name on booking page: on. Customers see who they're getting. (If junior, may reduce bookings, weigh accordingly.)

Per-class overrides

Global settings are just defaults. On a specific class you can override:

  • Capacity (4 instead of 8)
  • Min participants (5 for a group event)
  • Booking deadline (stricter on special classes)

Tips

  • Start with the basics: capacity, min lead, waitlist. Fine-tune later.
  • Min participants and auto-cancel work together, both must be on. Min only = manual cancellation.
  • Cancellation window matters more than you think: 0 hours allows last-minute cancellation (worse metrics). 12-24 hours is standard.
  • Always enable waitlist, busy classes auto-fill cancelled spots.
  • Reminder email reduces no-show rate, 24 hours before is generally ideal.
  • Showing instructor name builds trust, but public exposure may backfire with junior staff.
