This feature allows hotel guests to easily and quickly book spa treatments by scanning a QR code placed in their room. No registration, email address, or credit card payment is required. The service fee is charged to the room bill.

How does it work?

From the guest's perspective

  1. The guest scans the QR code placed in their room with their phone
  2. Their room number and name appear automatically (from the Hostware PMS)
  3. They verify their identity by entering their last name (security step)
  4. They select the desired treatment
  5. They choose the time slot
  6. With a single button press, they book and the charge is applied to their room

From the salon's perspective

  1. Generate QR codes for rooms (Settings > Hotel QR Codes)
  2. Print the room cards and place them in the rooms
  3. Bookings automatically appear in the calendar
  4. Room charging is automatic (through the Hostware PMS)

Generating QR Codes

  1. Navigate to Settings > Hotel QR Codes
  2. Enter the room number range (e.g., 101-120)
  3. Click the Generate button
  4. Print the room cards using the Print all button
  5. Place the cards in rooms (recommended: on the coffee table, near the mirror)

Room Card Contents

Each card contains:

  • The spa/wellness logo and name
  • A unique QR code for the specific room number
  • "Scan the QR code with your phone" text
  • The room number

Security

The system has multiple layers of protection against unauthorized charges:

Identity Verification

  • The guest must enter their last name to confirm the booking
  • The system verifies the name both on the frontend and server-side against PMS data
  • The guest list only shows first names and last name initials

Checkout Protection

  • After checkout, the Hostware PMS returns empty results for the room
  • This makes the QR code unusable for charging after the guest's departure

Daily Limit

  • Maximum 5 bookings per room per day
  • This prevents abuse even if someone gains access to the QR code

Prerequisites

  • Hotel PMS Integration: The Hostware PMS bridge must be running and configured
  • Hotel PMS Enabled: The Settings > Integrations > Hotel PMS access must be turned on
  • The guest must be checked into the hotel (CHECKIN event must have occurred in the PMS)

Error Handling

  • If the PMS is unreachable, the guest can manually enter their name
  • If room charging fails, the booking is still created, but payment must be settled at reception
  • For multi-guest rooms, the system presents a guest list and the guest can select themselves

Tips

  • Place QR codes near the bathroom, mirror, and nightstand
  • The system automatically detects the guest's language and displays accordingly
  • Suggest couple's treatments when multiple guests are staying in the room
