How to create, edit, and manage staff shifts

Creating and Editing Shifts

Learn how to manage individual staff shifts, including working hours and breaks.

Opening the Shift Editor

Click on any cell in the schedule grid to open the shift editor panel for that staff member and day.

Shift Editor Options

Working Day Toggle

Toggle whether the staff member is working on this day. When turned off, the day is marked as a day off.

Quick Presets

Use predefined shift patterns for fast entry:

  • Full Day - 9:00 - 18:00 with break
  • Morning - 8:00 - 14:00
  • Afternoon - 14:00 - 20:00
  • Evening - 16:00 - 22:00

Manual Time Entry

Set custom start and end times using the time pickers.

Break Configuration

  • Toggle breaks on/off
  • Set break duration (in minutes)
  • Paid Break - Toggle to count breaks as work time
    • Unpaid breaks are subtracted from hours
    • Paid breaks count toward weekly total

Working Hours Calculation

The editor automatically calculates total working hours:

  • Start Time to End Time
  • Minus Break Duration (if unpaid)
  • Paid breaks are included in the total
  • Displayed in the summary card

Saving Changes

Click Save Changes to apply the shift. Changes sync with the main calendar immediately.

Day Off

When you toggle a day to "not working":

  • The cell shows "OFF" in the schedule grid
  • Calendar blocks are automatically created
  • Online booking is disabled for that day

Use case scenarios

Scenario 1: Standard 9-5 shift

Anna gets the 9-5 shift with a 1-hour lunch. Use the "Full Day" preset, save. 15 seconds.

Scenario 2: Custom split shift

Bella works mornings 8-12 and evenings 17-22. Custom times for each block, save.

Scenario 3: Day off

Cili requests Tuesday off. Toggle "Working day" to off. Calendar shows OFF, online booking disabled.

Scenario 4: Adjusting break

A 10-hour shift requires a 30-min break by labor law. Toggle break on, set 30 min, mark unpaid. Compliance handled.

Tips

  • Presets are your friend: 90% of shifts fit a preset.
  • Set breaks for compliance: Hungarian Mt requires 20+ min for 6+ hour shifts.
  • Watch the summary: real-time hour total before save.
  • Don't over-customize: standard patterns build operational rhythm.
