Team status, who's in right now
What if you need to know right now who's at the salon? Who's already on break? Who hasn't shown up for a 10:00 shift? The Team Status page shows the full picture in real time, no calls or searching needed.
Where to find it
On the Working Hours Tracking page → Team status card, or as a widget on the Bookinda dashboard. On mobile, it's in the Manager app too.
What it shows
Each team member as a colored dot:
- Green: in and working.
- Amber: in but on break.
- Grey: not in (hasn't clocked today).
- Red: shift has started but they haven't clocked in yet (warning).
Next to the dot:
- The colleague's name.
- The clock-in timestamp (e.g. "Clocked in: 09:12").
- Current activity (e.g. "On break since 12:35").
What it's good for
Quick situation snapshot
Morning rush, the bell rings, and you don't know who's already in to ask. One glance at Team Status → you know.
Spot lateness
The 10:00-shift stylist's red dot signals she hasn't clocked in. Five minutes later, still red. Worth a call.
Reception coordination
Multiple receptionists, alternating shifts. The one on now glances at status: "Anna's on break, will call, will follow up later."
Customer communication
Customer asks: "Is Bella working today?" You glance, "Yes, clocked in at 9." Or: "Unfortunately, she hasn't arrived yet, let me call to confirm."
Use case scenarios
Scenario 1: Missing stylist
The 11:00 customer arrives, but the assigned stylist's dot is red (not clocked). Reception checks, calls. Stuck on the metro. Communicates to customer: "5-minute delay, here's a coffee."
Scenario 2: Last-minute check-in
A walk-in arrives. Reception: "Whoever's free right now, let's see." Team Status: Anna green, Bella amber (break), Cili grey (not in). Anna can take the customer.
Scenario 3: Break stagger problem
Salon complains everyone breaks at 13:00 simultaneously. Manager checks Team Status at 13:00: four amber dots. Comes up at the weekly meeting: stagger breaks.
Scenario 4: Sickness signal
The 9:00-shift staff hasn't clocked at 9:15. Status shows red. Manager calls, finds out she's sick. Reassigns bookings to a free colleague before the customer arrives.
Scenario 5: End-of-day coordination
At closing, the manager wants to verify everyone has clocked out. Glances at Team Status: 4 grey (clocked out), 1 green (still in). Sees who, sends a reminder.
What it doesn't show
- What exactly each person is doing: whether Anna is doing color or filling out a record, you can't see.
- Not private: the status is visible to the whole team. Stylists see each other's status too.
- Doesn't replace the booking calendar: who's booked to whom is on a different page.
Tips
- Stick it on a big screen: if reception has a TV or large monitor, the Team Status widget looks good there. Everyone knows who's in.
- Mobile dashboard: in the Manager app, pin status as a widget. You can see who clocked in even from the bus.
- Morning routine: at 9:30, automatic check. Who's not in? Call before customer arrival.
- Push notifications: enable them to get notified when someone is more than 15 min late. No need to check by the minute.
