How managers can review and approve staff time-off requests
Approving Time-Off Requests
Managers can review, approve, or reject time-off requests from their team members.
Pending Requests Badge
A notification badge on the Time-Off tab shows the number of pending requests requiring your attention.
Reviewing Requests
Opening a Request
- Go to Team > Staff > Time-Off
- See all pending requests in the list
- Click on a request to view details
Request Details
The request detail view shows:
- Staff member name and avatar
- Leave type and dates
- Total days requested
- Reason and notes
- Current balance impact
- Conflict warnings (if any)
Conflict Detection
The system automatically checks for:
- Scheduling Conflicts - Overlapping appointments
- Staffing Levels - Minimum coverage requirements
- Balance Issues - Insufficient leave balance
Conflicts are shown with warning indicators.
Taking Action
Approve Request
- Review the request details
- Optionally add a comment
- Click Approve
- Staff is notified of approval
Reject Request
- Review the request details
- Add a comment explaining why (recommended)
- Click Reject
- Staff is notified with your comment
Approval Workflow
Single-Level Approval
Default setup - manager approves directly.
Multi-Level Approval
For larger teams:
- Level 1: Direct manager
- Level 2: Department head
- Configurable in policies
Auto-Approval
Some leave types can be set to auto-approve:
- Sick leave (same-day illness)
- Training (pre-approved courses)
- Configure in Time-Off Policies
Tips
- Review requests promptly
- Check team calendar for coverage
- Consider fairness when multiple requests overlap
- Add helpful comments when rejecting
