Meeting notifications and notes
Meeting system notifies participants by email (and optionally SMS), enables meeting notes sharing.
Auto-email notifications
On new meeting creation
- Email to participants: meeting title + time + location + RSVP link
On modification
- Email to participants: "Meeting modified, new time: ..."
- Affected need to re-RSVP
On cancellation
- Email to participants: "Meeting cancelled. Reason: ..."
- (Only if "Notify participants" toggle ON)
Cron reminder (24 hours before)
- Auto-email to all participants
- Content: meeting detail + RSVP link
- Time config currently fixed (24h)
SMS notification (optional)
In meeting editor "Send SMS reminders" toggle:
- ON: SMS reminder to participants
- OFF: email only
SMS consumption from tenant SMS credit.
Notification template
Notification template is platform-level (maintained by Bookinda). Contains:
- Meeting title
- Time (in customer time zone)
- Location / online link
- ORGANIZER name
- RSVP link / public link
- Salon logo + footer
Meeting notes
Meeting editor has two note fields:
Pre-meeting notes (internal)
Note written before meeting. Only ORGANIZER + Manager / Owner see.
Post-meeting notes (mandatory on Complete)
On meeting Complete:
- Notes field → mandatory
- Note visible on meeting detail
- Shareable with participants (if you want)
Customer-meeting note
For CLIENT_MEETING / CONSULTATION type:
- Auto-saved on customer profile
- Staff can review later in customer history
Sharing
Post-meeting note:
- Internal only (only in Bookinda UI, salon internal)
- Email to participants (email send with note)
- Customer profile (auto for customer meeting)
When to use it
Scenario 1, basic meeting New meeting created. Auto-email to participants. 24h before cron reminder. SMS optional.
Scenario 2, urgent meeting "Urgent team meeting today 14:00." + SMS toggle ON → SMS to team immediately. (24h cron not relevant.)
Scenario 3, customer consultation Complete Consultation done. Complete → Notes: "Customer books Trend color in 3 months. Skin type: sensitive." Auto-saved on customer profile.
Scenario 4, team meeting note Weekly standup. Complete → Notes: "Béla presented new marketing campaign. Anna day off next Wednesday. Weekly revenue: 950k HUF." Internal, shared by email with team.
Scenario 5, note dispute Customer complains you said this and that at consultation. Meeting detail → Notes → verbatim note. Proven.
Tips
- 24h before cron reminder is fixed, don't rely on last-minute meeting.
- SMS reminder strong for urgent meeting, but eats SMS credit.
- Post-meeting note mandatory on Complete, don't leave empty.
- Customer-meeting note auto-goes to customer profile, don't manually copy.
- Email sharing with participants useful for dispute risk.
- Pre-meeting notes are internal, shouldn't contain customer-sensitive info.
